Notice of 2019 Annual General Meeting of the Australian Bioinformatics and Computational Biology Society Inc.

This notice is to advise you of the upcoming Annual General Meeting of members of the Australian Bioinformatics and Computational Biology Society Inc.

The details of this meeting are as follows:

Date: 10th December, 2019

Time: 1:15pm-2:15pm AEDT

Location: Charles Perkins Centre, University of Sydney, John Hopkins Dr, Camperdown, NSW

The meeting will be open to all members, however, to be entitled to vote or stand for election as a committee member you must have been a financial member for at least 10 working days prior to the AGM.

Summary

At the meeting, members will be asked to vote on:

·       Accepting the minutes of the last Annual General Meeting

·       Accepting the annual report & annual financial statements

·       A resolution to increase the number of ordinary committee members from two (2) to four (4)

·       Election of committee members

Resolutions

A resolution increasing the number of ordinary committee members from two (2) to four (4) will be presented to members.

Resolution: That the number of ordinary members be set to four (4), as provided under Section 53 of the ABACBS Inc constitution.

Additionally the role of Past-president will automatically be filled by the current past president, Tony Papenfuss if he accepts the position at the AGM.

Eligibility to vote at the AGM and election

Under Section 13, a member is entitled to vote if: 

(a)  the member is a member other than an associate member; and

(b)  more than 10 business days have passed since he or she became a member of the Association; and

(c)  the member's membership rights are not suspended for any reason.

Electronic voting and proxies

This year voting will be conducted electronically, so all eligible members can vote prior to or at the AGM. Voting will close 15 minutes after the start of the AGM. You will be emailed your electronic ballot by 26th November 2019.

Members can still assign a proxy to another member, but this is no longer needed for voting in the election or on proposed resolutions. If required, the printed and completed proxy form can be brought to the AGM or proxies can be submitted electronically by emailing the completed proxy form to returning.officer@abacbs.org up to 24 hours before the AGM (by Dec 09, 12:50pm AEDT).

November 26: Deadline for new members to be eligible to vote at the AGM.

December 01: Additional papers to be posted: Annual Report, Financial Report, Minutes of the 2018 AGM.

December 03: Deadline for written statements from candidates (due by 10:30am AEST).

December 09, 01:15pm AEDT: Deadline for proxies to be submitted electronically or bring the completed form to the AGM.
